Kars4Kids (“K4K”, “we”, “us”, “our”) is a Jewish charity dedicated to addressing the educational, emotional and spiritual needs of children and their families.

K4K is a “controller” of your data. We are committed to keeping your personal information safe and meeting our responsibilities under privacy law. Given that your personal information can be used to identify you, we want you to be confident that we are using it responsibly.

This Privacy Policy gives you detailed information about why and when we collect your personal information when you use our website (https://www.kars4kids.org/uk), how we use your personal information, how we keep it secure, and how you can let us know if you would like us to change how we manage it.

Kars4Kids is a registered charitable company in England and Wales, with charity number 1210011 and company number 15156839.

2. What personal information we may hold about you

Personal information is any information that relates to an individual. It does not include information where the identity of the individual has been fully and effectively removed (anonymous data).

We may collect the following personal information about you:

  • Your name and contact details (postal address, email address, telephone number), and, where applicable, your social media handle
  • Information about your computer/mobile device and visits to our website (e.g. IP address and approximate location)
  • Donation and transaction details, including whether you are a UK taxpayer so that we can claim Gift Aid (we do not store full payment card details)
  • Vehicle information relating to vehicles you donate to us
  • Logistics details for pick-up/transfer of donated vehicles
  • Account details and communication preferences
  • Records of enquiries, feedback or complaints
  • Direct marketing preferences
  • Direct marketing and communication engagement (e.g., email opens/clicks) to understand and improve what we send you
  • Information that we collect when you participate in our surveys and research;
  • Any other information relating to you that you give to us when you contact us via email, phone, in person, social media and/or post.

Sensitive Personal Information

Under data protection law, certain personal information is considered more ‘sensitive’ (e.g. information relating to racial or ethnic origin, religion, political views and health). This is also known as “special category” information.

We may collect the following sensitive personal information about you such as your name, address and Taxpayer ID for Retail Gift Aid

We collect and retain personal information about you that you have given us in different ways, for example:

  • Information you give us: for example, when you donate to us (including vehicle donation), contact us, complete forms, post information on our social media or message boards, participate in our surveys or research, or otherwise communicate with us. This may include your name, email address, telephone number, postal address and vehicle information.
  • Information we receive from your use of our website and services: we collect information about the online content you use and how you use it, such as when you watch a video, visit our websites or interact with our ads. We can identify browser type, IP address and device/operating system to help improve our services. Please see our Cookie Policy for more detail.
  • Information we receive from third parties: for example, from payment providers, logistics/vehicle collection partners, fundraising platforms, social media platforms when you interact with our content, and public sources such as Companies House.

4. How we use your information

We use your personal information to:

  • Facilitate the pickup, transfer and disposal of your vehicle and to administer Gift Aid as required by HMRC
  • Process your donations and payments and provide receipts and acknowledgements
  • Create and manage your account if you register with us
  • Administration (e.g. contacting you about a donation you have made, including Gift Aid), and for internal management (record keeping of enquiries, feedback or complaints)
  • Provide information about our work and ways to support us, in line with your marketing preferences and applicable law
  • Invite you to participate in surveys or research (voluntary)
  • Use IP addresses and similar data to understand approximate location, block disruptive use, maintain security, record website traffic and personalise information presentation
  • Analyse and improve the online services we offer and make them user‑friendly
  • Where collecting and holding your information is required or authorised by law
  • For other specific purposes that you agree to from time to time.

5. Legal basis for processing

We will only use personal information when the law allows (i.e. where we have a ‘lawful basis’). Most commonly, we will use your personal information in the following circumstances:

  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and rights do not override those interests. For example, we have a legitimate interest in facilitating car donations for our charitable purposes.
  • Where it is necessary to comply with a legal obligation to which we are subject, for example retaining records for Gift Aid or accounting/tax purposes.
  • Where it is necessary for the performance of a contract to which you are party.

When we process your special category information, we do so where this is necessary:

  • For reasons of substantial public interest;
  • To comply with a legal obligation;
  • With your explicit consent.


In some circumstances, we may ask for your consent to use your personal information for a specific purpose. In particular, we may obtain your consent before we send you any email or SMS marketing, newsletters or other communications about topics and events which we think might interest you.

You may unsubscribe from our email or SMS communications by following the instructions in any email or SMS that we send you, or you can withdraw your consent and request us to remove your personal information at any time by emailing us at contact@kars4kids.org.uk.
We do not carry out any automated decision-making using personal information which produces legal effects or otherwise significantly affects individuals.

5. Retaining your personal information

We will not keep personal information for longer than necessary. The appropriate retention period will vary according to the intended purpose for which we collected the personal information.
The criteria we use to determine the retention period of personal information are: (i) the respective statutory retention period; (ii) our contractual and/or business relationships with you; (iii) (potential) disputes; and (iv) any guidelines issued by relevant regulators. After expiration of the retention period, the relevant information is routinely deleted, as long as it is no longer necessary for the fulfillment of a contract, the initiation of a contract or to protect or defend our position or that of a third party. 6. How we share your personal information

We may share your personal information with third parties, including the following:

  • with other K4K entities and trading subsidiaries, including Kars4Kids Trading Limited (a company registered in England and Wales with company number 16076244)
  • with our contractors, suppliers or other third parties that provide services on our behalf (such as website host providers)
  • with social media companies and advertising networks: we may provide your email address or mobile number in hashed form to platforms such as Facebook, Instagram, X (Twitter) and YouTube, or to digital ad networks, to display our advertising and to identify audiences with interests similar to yours
  • pursuant to a subpoena, court order, or other legal process or as otherwise required or requested by law, regulation, or government authority programs, or to protect our rights or the rights or safety of third parties
  • with our professional advisors, lawyers, accountants and auditors
  • with your consent or as otherwise disclosed at the time of data collection or sharing.

7. International transfers of personal information

Your information may be transferred to Kars4Kids’ US charity operations and stored in the United States, including at the New Jersey headquarters of Kars 4 Kids, Inc. (a US 501(c)(3) corporation), and on Amazon Web Services (AWS) servers located in Virginia.
Where we transfer your personal information outside the UK (and, where applicable, the EEA), we put in place appropriate safeguards, such as the UK International Data Transfer Agreement (IDTA) or EU Standard Contractual Clauses with the UK Addendum, conduct transfer risk assessments, and apply supplementary measures where needed. 8. How we keep your personal information safe

To protect your privacy, we make sure your personal information is kept securely and disclosed only to relevant organisations or representatives who need to access it to perform their roles. While we seek to use appropriate organisational, technical and administrative measures to protect personal information within our organisation, unfortunately no data transmission or storage system can be guaranteed to be 100% secure.
